Who we are
Talos Vigilance LLC ("Talos Vigilance," "we," "us") provides automated quote follow-up, review-request, missed-call text-back, and customer-alert services for trades businesses (plumbing, HVAC, electrical, roofing, landscaping, cleaning, pest control, general contracting, and similar). Information we collect
From businesses that inquire about or use our service
Name, business name, email address, phone number, and job-volume/trade details submitted through our quote form, our website chat, by phone, or provided directly; the signed service agreement; and plan and billing status (card details are handled by Stripe and never reach us).
From a client's Jobber account (connected with the client's authorization)
Quote, job, visit, and client records needed to run the service: each customer's name, phone number, service property address, job descriptions and amounts, quote and job status, and recurring-visit history. We also add one custom "SMS Consent" field to the client's Jobber account so the business can mark which customers have agreed to texts.
From calls and messages
- When someone calls a client's Talos Vigilance number and the call is missed, their phone number and any reply they text back.
- Replies customers send to our texts, and the delivery status of each text (delivered or not).
- Calls to our own support line are answered by an AI assistant, which says so at the start of the call; the conversation is transcribed and kept, and voicemails are recorded.
- Messages typed into the chat on our website are used to answer them in that conversation; we do not keep a record of them afterward.
About businesses we contact
To find trades businesses that may benefit from our service, we use publicly available business information (business name, public phone number, website, and business email) from sources such as Google business listings and the business's own website. Sales calls we place may be recorded for quality and training, and the person we call is told so first. Any business can ask us not to contact it again.
Cookies
The client portal uses one cookie to keep you signed in. Our website does not use advertising cookies, analytics, or tracking pixels.
How we use information
- To respond to quote requests and operate client accounts
- To send, on a client's behalf, automated quote follow-ups, missed-call text-backs, and post-job review requests to that client's own customers
- To alert a client to severe weather near its customers' properties and to recurring customers who start missing visits
- To show a client its results on its dashboard and in a monthly summary
- To provide support and service-related communication
- To send our own account check-ins and service alerts by text to a client's business owner, only if that owner opted in using the optional checkbox on our quote form
- To maintain records required for legal and regulatory compliance (including SMS consent records)
We do not sell personal information, and we do not use SMS opt-in data for marketing purposes unrelated to the service a client signed up for.
SMS / text messaging
Where Talos Vigilance sends text messages on behalf of a client business to that business's own customers, the following applies:
- Consent. Quote follow-ups and review requests are only sent after documented consent. The method in real use today is SMS opt-in: the business marks a customer as agreeing to texts in Jobber, we send that customer one invitation text, and the customer replies YES. The only texts sent before a YES are that single invitation and, when someone has just called the business and the call was missed, one reply text to that caller. Two further methods are designed but not yet in use: a web-form opt-in checkbox on the client business's own quote/intake form (unchecked by default, never assumed or pre-selected), and a verbal opt-in read on-site by the client's technician. - Message types. Quote follow-ups on an open estimate, a text-back reply when a call is missed, and a review request after a completed job.
- Frequency. Varies by the interaction — typically a small number of messages tied to one specific quote or job, not an ongoing marketing cadence.
- Rates. Message and data rates may apply, per the recipient's own mobile carrier plan.
- Opt-out. Reply STOP at any time to stop receiving messages; reply HELP for help. Any clear request to stop is honored, even without the word STOP. Consent is never sold, shared for unrelated marketing, or reused outside the client relationship it was given for.
Text messaging originator opt-in data and consent will not be shared with any third parties for their own marketing purposes.
Third-party services we use
We rely on these providers to operate the service, and share with each only what its function requires:
- Jobber — the client's job-management system, accessed with the client's authorization
- Twilio — text messages, phone numbers, calls, and call recordings
- Anthropic (Claude) — AI that writes website-chat and support-line replies and helps sort incoming messages; the text of those conversations is sent to it for that purpose
- Google — email delivery (Gmail) and public business listings
- Stripe — payment processing
- DigitalOcean and Cloudflare — hosting and secure network delivery of our website, portal, and service
- National Weather Service — public weather alerts for the areas where a client's customers are located
Each handles data under its own privacy terms. None of them may use SMS opt-in data for their own marketing.
Data retention
We keep account, customer, and consent records while a client uses our service. When a client leaves, we stop all messaging for that business immediately, disconnect its Jobber account, and delete its stored access credentials. We delete the client's customer records on request. SMS consent and opt-out records, the signed agreement, and billing records are kept as long as needed to meet legal and regulatory recordkeeping requirements, including proof of SMS consent. Deleted information may remain in our backups for up to 30 days before it is overwritten.
Your choices
You can reply STOP to any text at any time. A client business can request deletion of its customer and account data by contacting us at hello@talosvigilance.com. An end customer who wants their information removed can contact the business they work with, or contact us directly: we will delete our records of them for that business and keep only a record that they asked not to be texted, so they are never texted again.
